The Benefits Of Using Commercial Paper Shredding Companies

By Pete Malcolm

When it comes to protecting sensitive data, nothing beats using a paper shredding company. Those small portable shredding machines are fine for occasional use. A small office or an individual might be fine with those for minor paperwork. However, they are not only slow but the user must still face the dilemma of disposing of the sensitive shreds or pieces. Commercial firms that specialize in this type of work are fully aware of the need for security, from shredding on through to final disposal.

Some of these companies process only at their site. Some will come to the client's site and process there. There are also some mobile units. Fees are not as big a concern as clients might expect. Because of the high volume processed and the type of machinery, fees are reasonable. It doesn't matter if the client has a ton of special documents or just one box of private papers. Most will process any size job.

These firms take a lot of work off the hands of the client. They provide a container, locked, into which the client slips the documents for shredding. On a pre-arranged schedule, they collect the containers. They then do the work and pass the end product on to a recycler. No work is required on the client's side of the job.

Some of these firms request that the client to remove paper clips, staples, and rubber bands. Other companies do not even require that much. Outsourcing the work also cuts down on the noise, mess, and dust of a portable machine. There is no need to pay an employee to sit and shred with a portable machine.

Processing thousands of pounds of documents an hour is normal to these special services. In contrast, portable machines are rather sluggish. These little models also have down-time when the user gets impatient and shoves too many pieces in at one time. Sending the work to an outside business eliminates this annoyance.

Final disposal, however, is often the biggest problem unless dealing with the experts. These services specialize in protecting the data they are charged with. With portable machines, the user still has to deal with getting rid of sensitive by-product, no matter how small it becomes. Professionals process and pass the by-product directly to recycling centers. Protection is their prime concern.

In addition to dealing with some government standards, there are also industry standards that these companies abide by. An organization known as the Association of Information Destruction is charged with overseeing this work and in issuing guidelines. One of their major goals is to caution clients to obtain a certificate of destruction when the deed is done. Other security measures taken by these firms include employee background investigation and ongoing training. They are insured.

There's no doubt that paper shredding is the best way to dispose of private paperwork. Although some people think recycling is doing the environmentally correct thing, it is not enough. The security level is not a priority at a recycling center. Identity theft is so widespread that private data requires secure protection and proper disposal. A dedicated firm is a wise option.
